This guide explains what accounts need to be set when setting up a company for POS365 to ensure correct reconciliation. Make sure to follow the guide thoroughly.
Account setup:
Payment types:
In Business Central, go to 'Payment methods' and set the 'Bal. Account No.' for the payment method you are setting up.
Bal. Account No. = When the payment method is used in POS365, the payment will be displayed on this account in Business Central
Currencies:
Go to 'Currencies' and set up the denominations, cash drawer account and bank deposit account for your currency.
Denominations = All active/available denominations of your currency
Cash drawer account = The account corresponding to where cash received as payment will be stored
Bank deposit account = The account corresponding to where the money ends up after moved from the cash register. This can both be a bank account or an account corresponding to a safe depending on the physical movement of the money.
Company:
Go to 'Setup' and click on 'Companies'. Choose 'Menu' and 'Settings'
Set 'Loss/gain account' and 'Rounding account'
Loss/gain account = The account where losses and gains of sales made on the POS should be posted
Rounding account = The account where the roundings of cash payments should be posted
Posting:
All sales invoices and sales orders as well as payments and end-of-days are transferred to Business Central as open. Therefore, you will need to set up job queues in Business Central if you want to automate the posting process.
Sales invoices:
At the bottom of a sales invoice made on POS365, information regarding the sale is stated. This allows you to connect sales between the Admin Center and Business Central
Sales orders:
At the bottom of a sales order, a checkbox called 'Order Completed [PON]' is shown. This will be checked, if the order has been paid in full AND the employee has said yes to this on the POS. See more in this guide.
This can be used to automatically post sales orders through job queues.
Journals:
Depending on what journal you have selected for posting in the company setup in the Admin Center, this will be the journal all payments are shown on.
All payments and end-of-days will be transferred to Business Central as open and therefore need to be posted manually or by using a job queue.
We highly recommend creating a journal specifically for POS365 to easily distinguish between sales made through POS365 and other sources.
